Can I please ask that is it possible to edit invoice, sales order report format ect.? For example, I want the company logo to show on the top left hand side rather than right, also I don't want to have that many column borders when report generates. Can I do this kind of stuff?

Yes, you can. If you have invoice printout shown on screen, close it.

The files defining the invoice are located in C:\AlmytaSystems\#your company name#\screens. The names INV_AD_STD.txt and INV_AD_STD_LI.txt. First is header/footer and second is line items.
Edit with the notepad.
To hide a line or field, change Visible column from Y to N. Preview invoice and see how it affected the printout. Close the preview and continue changes. Do not modify he file while the preview is opened, Make a copy of the file each time the change was okay. Delete the file to restore the original settings.

I'll have a look and see if I can play around with the Notepad.

In case others have the similar concern like me, I'll paste my other formatting questions that I asked in the email as well:

1) In Invoice, Sales Order report etc., we prefer our company logo and contact details to appear at the top left hand corner all together, while seems that the system doesn’t allow me to do so;

2)  For contact details in above mentioned reports, is there any possibility that we can have both phone and fax number relocated to the same column with the business address;

3) In these reports, could the title of “BILL TO” be changed as “INVOICED TO”, also “SHIP TO” to “DELIVERED TO”;

4) Also there is a system automatically generated sentence “This number must appear on all related correspondence, shipping papers, and invoices”, I’m wondering can you please get rid of this or can I delete that from the software?

5) For the product details in these reports, can I rearrange these column borders myself? For example, I want to clear some horizontal borders;

6) To make it simple, is these any possibility that I can upload our own format of Invoice, Sales Order and Picking Slip etc.?

Hi Bill,

I've followed your instructions above while some changes still can't be done with Notepad.

1) How can I put company logo and address together and set them at the top left corner? (which code stands for left?)

2) How can I bold my company name which is above the company address?

3) When I turn some tables' visibility off there's a wide blank gap in between, how can I get rid of it?

4) With Notepad the tile of "TO" can't be changed as "INVOICED TO", and "SHIP TO" can't be changed as "DELIVERED TO"; 

4) I also need to have other reports like Sales Order and Picking Slip format changed, while only Invoice Screen files of INV_AD_STD.txt and INV_AD_STD_LI.txt are editable. Can you please also let me know where Sales Order and Picking Slip Screen files locate?

1) There is a column named LEFT. Unit of measure is 1/1440 of an inch.
2) Make FWeight=600 or 800
3) You can move objects around by using left, top, width, and height.
4) change line: lblBillTo,100,Y,,,0,1,#000000,30,855,60,330,Calibri,9,700,N,N,#000000,1,,,,,,,,,TO:,EOL

to line:

lblBillTo,100,Y,,,0,1,#000000,30,855,60,630,Calibri,9,700,N,N,#000000,1,,,,,,,,,INVOICED TO:,EOL

This will change TO to INVOICED TO

4) Sales order form defined in SO_AD_STD and SO_AD_STD_LI.txt

Hi Bill,

I tried your instructions above, while all stuff assigned at right can't be moved to left. I've modified the LEFT column value for the logo, it still sits where it is. Did I miss something here?

Also, may I ask can AID generate monthly statement and picking slip? I can't find where it is.

No it does not move the logo for some reason. This will be fixed in the next update.
There is no pick list in AID. It is not a warehouse management software. Maybe it can generate a monthly statement, but it depends what you mean.

Hi Bill,

Me again :-)

In the file of PO_AD_STD, I tried to change the name of Purchase Order to something else, while nothing happened when I worked on this line txtPHB1,109,Y,,,0,0,#000000,5025,5310,30,375,Arial,14,700,N,Y,#000000,3,,,,,,,,,="Purchase Order No.: " & [ID],EOL

Also, in the SHIP TO column, Address and Attention can't be moved to neither left nor right.

Am wondering is it possible to fix these for next update?

You are right! Something's got unlinked. the PO form only writes to the config. file, but does not read it anymore. Fixing it...

I found that there're more unlinked. In the line items table, many txts can't be moved at all.

Hope this can be fixed for the next update as well.

Actually, they are not unlinked. The logo cannot be moved, because it is right-justified by default. We have added left justification to the next release. If Left=0, the logo will appear on the left. Otherwise, it will be right-justified.

The wording of "Purchase Order No.: " cannot be changed. This was by design, but will not be so.

You wrote, Also, in the SHIP TO column, Address and Attention can't be moved to neither left nor right.

I can move these cells. This is working fine.

Hi Bill, I've updated the software to date, while some items in Invoice, Sales Order and Purchase Order reports still can't be moved to either right or left, can I please ask is there any other ways that I can make these changes?

The changes have been made. However, we have not published the update yet. There is a plan to add "straight commission sales" function to the software. While it is in the making, we do not publish the updates. Is logo movement really urgent?

The logo movement isn't very urgent Bill, while other stuff on the right hand side are a little bit urgent to move. Hopefully the new update can be released soon.

Hi Bill,

Thank you for letting me know. I just updated the software while the changes I want still can't be made.

For the file INV_AD_STD, I tried to move the logo to left while the code 'Left' doesn't work, the same thing happened to 'Ship To Address' when I moved it to right.

For the file INV_AD_STD_LI, I tried to move 'Description' to right while the code 'Left' doesn't work still.

Actually for the rest screens files such as Purchase Order and Sales Order the 'Left' code doesn't work for them either.

Could you please let me know how can I fix this as I have been waiting for this change for a while?

It does move logo to the left. I will not move all fields around, but...

Make sure the Invoice is not open in preview.
Change line:
To Line:

In fact, only one number needs to be changed (Left point) 7501 to 0

Save the text file and preview the invoice form.

Under "the rest" you mean line item description?

The description cannot be moved to the right because it is too wide and therefore does not fit. So if you change just left margin, the field won't move. The next column after LEFT is WIDHT
Original line in the INV_AD_STD_LI file


New line with the description moved 17 mm to the right.

All printed forms, such as invoice or purchase orders, consist of five sections: Report Header (Logo, company address), Page Header (Order number, messages), Order Detail (Bill To/Ship to addresses, phone numbers, cells with additional information: Order Date, Payment Terms, etc. Line Items), Order Footer (totals, taxes, T&C, Notes), Page Footer (Company Name).

The top position in each section starts with 0. This is why it is not possible to move Terms and Conditions, for instance, to the top of the page. Top of the page is occupied by Report Header section, but T&C belongs to the Order Footer section.

Sections can grow. If T&C is too long, the Footer section will grow to accommodate all text in T&C, if section does not fit on the page, it jumps to the next page. All fields will go with the section and because of that the totals and taxes will go to the next page as well.

This is not the best design. We will make a change to it trying to keep the totals with the line items when possible.

If you have a problem with totals going to the next page while it seems they could fit, preview form, click Page Setup in the menu, change Top/Bottom margins to 0. The margins should reset automatically to the lowest number that your printer can support.

You explained my question very clearly so I've fixed the line item description alignment by following your instruction.

About totals going to the next page, I did try what you have suggested here while it doesn't work on mine. The reason I guess is that I have 8 line items in Order Detail section. 

You said as T&C belongs to Order Footer section so that it will jump to the next page if footer is too long, while the truth is that I don't fill anything in T&C as well as Notes. In print preview, I can see there're enough gap to fit totals and T&C on one page with line items.

May I ask should I wait for your next change or  try any other ways to have it fixed?

Hi Monica,

I have six line items fit on one page. If we squeeze 8, there always will be 9.

Yes, we will improve the design rather soon. I would say this month. It is in the list.

Hi Bill,

Mine can only have 3 line items fit on one page with all these totals. So I think I might made some mistake when I changed the code.

At this stage my invoice screen looks like this: 

* I moved Logo to the left top corner and company information to the right
* I made the table between Ship To Address and Line Item invisible
* I moved Line Item Description one line up to be the same row with item ID 
* I deleted all line dividers in the Order Detail section
* I moved T&C, Notes and Memo down to the bottom on a page

Problems with current setting:

* I have to reset Left and Width every time once the line item description length changes
* There're only 3 items can be fit on one page  

May I ask is it possible for you find my mistakes according to the description above?

Hi Bill,

May I ask how can I have my default Tax automatically ticked for line items rather than manually input?

Also can I keep Notes, T&C and Memo down the bottom of a page as footer rather than let line items squeeze them to the next page when there're too many items?

Hi Bill,

I still have the problem to fit 8 items on one page.

The subtotal and total amount section and T&C section will be squeezed down to the next page when there're 7 or 8 items, which is really unprofessional that all items stay on one page while its total amount goes to the other page, I've tried to adjust top and bottom margins to zero while it only work when there're 7 items. When 8 items and it apparently can have all sections to fit on one page, the margin adjustment doesn't work.

Please help me with this since this problem has left unfixed for a long time.

I am not sure, what you mean saying "unfixed". What exactly do you want the form to do? Do you want it to fit 8 line items on one page? If so, what if there are 9 line items? What if 8 line items fit on the page, but you add more text to the T&C? It would not fit again. This is not a bug, and therefore the is nothing to fix.

Hi Monica,

I am afraid, it is not possible. You can only move/hide fields inside their section. You cannot move fields between the sections.

Is it cut so you do not see the entire image or it is just smaller than expected?
