If a purchase order number gets automatically assigned by the software, the duplication is not a problem. If it is assigned manually by a user, the software checks if the po number is already in use and shows an error message to the user.

But I am able to use the same PO and create different orders.only sometime the error shows..

Actual fact the software should never allow duplicate same PO for different orders..

If you have a closed or canceled purchase order and you have set up the software for a manual order numbering, YES it will allow you to input new order with the same number. It is done for a reason. The manual order numbering exists for interfacing with other purchasing/accounting software in house.

 

It is up to user (other software) to avoid duplication in this case.
